Office Manager

Position overview

As Office Manager you will provide administrative services within a designated department, function or process area. Your duties may include services such as office support; paperwork / documentation preparation, filing and submission; inventory tracking and purchasing; facility maintenance; administrative equipment maintenance, tracking and controlling departmental processes (that is, subcontracted work, cost tracking, internal IT applications etc.) and other duties. You will be in contact with the building administration, taking care of compulsory checks and verifications as well in cooperation with the responsible for HSE. In addition, you will be responsible for the organization of events and team activities.

Responsibilities:

  • Providing administrative support
  • Performing specific duties relating to the following: Office support - procuring supplies, performing transactional duties related to employee, contractor and visitor security and clearance, initiating service calls and participating in life safety and emergency planning exercises.
  • Processing administration - completing, verifying and submitting paperwork in support of ongoing operations (that is, tax forms, purchase orders, invoices, vendor-related agreements, bills of sale, expense accounts, etc.).
  • Facility maintenance - supporting construction, refurbishment, relocation and similar activity.
  • Office administration - handling incoming and outgoing correspondence, performing data entry, handling filing and document retrieval, supporting meetings and conferences (scheduling, arranging A/V and other equipment), greeting and directing visitors and guests, etc.
  • Engaging with assigned team members, allied teams, customers and other stakeholders to ensure accurate and timely communication and task completion.
  • Ensuring adherence to established company and regulatory policies and guidelines.
  • Verifying accuracy of recorded information, including tax forms, invoices, expense accounts, bills of sale.
  • Verifying that all documents are properly approved and signed.
  • Providing technical / procedural support for system, equipment and process upgrades.
  • Attending key meetings to offer transactional / procedural insight, serving as minute taker and ensuring appropriate dissemination of records.
  • Ensuring proper handling of sensitive information.
  • Providing administrative support for designated manager(s), team(s) or a functional area (that is, Finance, Sales / Sales Operations, Marketing, Supply Chain, etc).

Qualifications:

  • Education or equivalent work experience required.
  • Minimum of 2-4 years of relevant experience or equivalent combination of education and experience in Administrative Services.
  • Good business English and Polish skills (Written and spoken).
